Workflow-based Application for the Controlling and Reporting of Financial Services

VQF – Kompetenzzentrum zur Qualitätssicherung von Finanzdienstleistungen
The Financial Services Standards Association (VQF) offers single-source compliance services to financial intermediaries of the Swiss para-banking sector. Helbling developed a collaboration platform for the VQF so it could monitor compliance regulations more easily and transparently. It also implemented a state-of-the-art, process-oriented workflow application that automated a large number of tasks in the VQF's back office.

The existing controlling and reporting solution had become slightly outdated and was experiencing a few instabilities. The new system, which would replace the old one, needed to be developed quickly and with strict adherence to the budget. Installation was to use a big-bang adoption approach, i.e. without the new and old systems running in parallel. Data migration proved to be a particularly tricky challenge since the data structure in place in the old system was entirely different than in the new one. Helbling addressed each of these requirements in detail and developed the software using the most up-to-date methods and technologies.

  • After formulating an IT concept for the customer, Helbling recommended creating a member portal ("collaboration platform"). The existing back-office solution should accordingly be replaced in a second stage by a new and modern implementation

  • Defining technical specifications for the member portal

  • Following a brief analysis and documentation of customer requirements, Helbling presented the VQF with the technical specifications for the new back-office system, including an implementation plan and cost estimate.

  • The browser-based application was designed and implemented while the old solution was still in operation

  • Integrating already developed member platform into the new system

  • Migrating all old application data to the new application by ETL process

  • Planning and implementation were carried out using agile development paradigms. This allowed the customer to check on project progress and development deliverables at an early stage and intervene if needed

  • Induction and training for employees and support

Outcome


Since many of the interactions with members which had been necessary in the past were eliminated, the two browser-based applications helped the VQF streamline and speed up its processes considerably. In addition, the new solution improved the quality of the data.

Improvements to the process translated into time savings for the auditors, which meant that they could focus on their core auditing responsibilities. This, in turn, led to a reduction in the number of external auditors required by the VQF and thus lower costs.
